BHC Auxilliary - August 2018 Minutes

The BHC Auxiliary meeting was called to order by President Donna Harper at 7:00 p.m. There were eleven people in attendance (list attached). The minutes of the previous meeting were read and approved. Jan Hubber reported a balance of $14,566.09 in the treasury and a profit of $2,405.17 from the Rodeo BBQ. Treasurer's report was approved by the membership.

Under Old Business, the BBQ was discussed. We served 420 persons including the fiddlers. We ran out of meat due to large portions being served. Next year, Nancy will bring a food scale and the servers will understand what 1/4# looks like so that we don't overserve. We purchased 185# of beef from Bob's which was 5# more than last year. We purchased 80# of cabbage and had some left over. It was very helpful having high schoolers help with set up and take down. If we have the Dillon Junior Fiddlers next year, we will serve them at 11:00 before the parade and then they can play longer at the park without having to stop playing in order to eat. The table tents showing sponsors was a good idea. The Dog Waste sign by the food should be covered next year.

Under New Business, the annual meeting was discussed. Kathy Toombs will contact the Mint. Date is Tuesday, September 18, at 6:00 p.m. Wendy Herring will contact Kelly McBride to see if she will be our speaker (10-15 minute talk). Donna will contact Broadwater Blooms for centerpieces. Jeanne will send out blanket email to inform people of the meeting, including various board members. Nancy and Bonnie will make phone calls (Jan will pinch hit if needed).

Leprechaun Festival date is March 16 if the school is available.

Nancy reported that we raised almost $5,000 in sponsorships in 18 months. She further reported that our group has raised $33,282 since March of 2017.

The group decided not to have a booth at Fall Fest but will help the hospital with their booth. We will not sell cookies or have a bike raffle.

Jacque Swenson was thanked for her participation and for keeping the group going several years ago when some people wanted to disband due to lack of members and aging members.

The meeting was adjourned at 8:00 p.m.
